Energy Futures Foundation Limited (EFF, we, us) respects your privacy. This policy explains how we handle personal information through our website and our work.

Information we collect and use. We collect personal information reasonably needed for our research, advocacy, partnerships, events, fundraising, recruitment and administration. This may include your name, contact details, organisation, role, correspondence, meeting records and information you provide when engaging with us.

We generally collect information directly from you, including through forms, emails and meetings. We may also collect relevant professional information from public sources, referrals and partner organisations. We collect sensitive information, such as health information or political opinions, only where reasonably necessary and with your consent, unless permitted by law.

Our website. Our website is hosted by Squarespace. It collects technical information such as IP addresses, browser and device details, and pages visited to operate the website and understand its use. Cookies support website functions and analytics. You can manage cookies through your browser settings, although disabling them may affect some features. Using and sharing information. We use personal information for the purposes described above and to respond to enquiries and send updates you request or agree to receive. You can unsubscribe using the link in our emails or by contacting us.

We use service providers for website hosting, email, cloud storage, relationship management and administration, including AI tools that assist with research, correspondence and meeting notes. We limit the personal information shared to what is needed. We may share information with advisers and project or event partners where necessary and reasonably expected, with your consent, or as required or authorised by law. We do not sell personal information.

Some providers store or process information overseas. We take reasonable steps to protect information handled on our behalf, including overseas.

Security and retention. We store information electronically. We use access controls and other reasonable safeguards against loss, misuse and unauthorised access or disclosure. We take reasonable steps to delete or de-identify information when it is no longer needed, unless retention is required by law.

Access, correction and complaints. You can request access to or correction of your personal information, or raise a privacy complaint, by contacting our Executive Director at info@energyfuturesfoundation.org. We may need to verify your identity. If we cannot fulfil a request, we will explain why.

We will acknowledge and investigate complaints and aim to respond within 30 days. If you remain dissatisfied, you can contact the Office of the Australian Information Commissioner about your options.

We may update this policy by publishing a revised version on our website.
